Sales Order Administrator

Reports to: Operations Manager


NOTE: In addition to these functions, employees are required to carry out such other duties as may reasonably be required.

The Sales Order Administrator will be responsible for the verification and processing of customer orders, invoicing, investigating and resolving customer queries and credit claims. They will also be responsible for providing reception cover, general facilities and administration assistance, and customer service cover as required.

The successful candidates will be joining a fast growing sales and marketing organisation that focuses its resources towards achieving significant sales growth whilst at the same times delivering high levels of service to its customers.

Reporting directly to the Operations manager you will need to demonstrate:

Brief description of the job responsibilities


  • Customer verification and processing of orders received (quantities and products) and associated clerical and filing duties.
  • Processing sales orders for ‘IPS’ and ‘IBP’ Warehouses and producing delivery notes.
  • Arranging transportation and booking deliveries liaising with Warehouse Manager, Transport staff and external administrative service and arranging couriers as necessary.
  • Investigating and resolving customer queries on orders and invoices.
  • Investigating credit claims, arranging uplifts, raising credit notes and doing ‘write-offs’.
  • Registering new products with wholesalers and distributors by completing the necessary forms and ensuring the customer receives all the relevant information correctly.
  • Providing cover for samples orders as necessary.
  • Reception duties including telephone duties.
  • Facilities and general administrative duties including maintenance of office equipment, telephones, and fax machine etc.
  • Postal dispatch duties as required.
  • Maintaining back order file and fulfilling the orders once stock is available again.
  • Communicating any out of stock situations to the relevant staff so that customer expectations can be managed.
  • Carry out any other reasonable Operations related requests from the Operations Manager from time to time.
  • Work in a responsible and safe manner having regard to own and others’ health and safety at work.

  • Previous experience of working in an administrative role, and processing customer queries and orders.
  • GCSE/ ‘O’ Level grade C or above in Maths and English.
  • Understands the order to pay process from end to end.


  • Has some experience using ERP software such as Pegasus, SAGE, etc.
  • Previous experience of dealing with external customers.
  • Previous experience of working within a medical or healthcare industry.
