Administrative Assistant (permanent – part time and prorata)

Head office, Harrow

Area: Finance Department

Reports to: Head of Business Services

Salary : permanent – part time and prorata £14560.00 pa


The Administrative Assistant will be responsible:

To provide administrative support to the Finance department

General administrative support in addition to duties described below

The Administrative Assistant role is an Office based role.

Brief description of the job responsibilities


Reporting directly to the Finance Administration Assistant, you will need to demonstrate:

  • Scanning of all vendor invoices, supporting documents, letters & correspondence to assist in recording purchases of goods and services
  • Coordination for securing approval from respective teams for service invoices
  • Maintaining filing systems & archiving
  • Managing petty cash and accounting for petty cash expenses
  • Assisting in audit at year end
  • Assisting with month end procedures
  • Opening and distributing daily post
  • Assist with Sales team expenses
  • Assisting with any other ad hoc tasks
  • Undertaking any other tasks/duties as may be reasonably required
  • Answering telephone calls ensuring prompt and accurate passing of information and messages
  • Ensure that all customer and supplier queries are dealt with in a courteous and prompt manner
  • Assisting with any other work related tasks
  • Knowledge sharing with other team members
  • Work in a responsible and safe manner having regarding to own and others’ health and safely at work
  • At all times promoting, maintaining and fostering good teamwork

  • GCSEs including Math and English
  • Computer skills and good knowledge of Outlook, Microsoft Word, Excel and Powerpoint
  • Knowledge of operation of standard office equipment
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Knowledge of principles and practices of basic office management
  • Excellent communication
  • Intermediate MS Word, Excel & Outlook
  • Excellent interpersonal skills
  • Well organised and efficient
  • Ability to multitask
  • Basic accounting and finance knowledge


  • Bachelors in business, administration or management
  • BTEC Business Administration Certificates
